REQUEST FOR PROPOSAL #24-23

The Town of Reading (Town) invites sealed Proposals from vendors for Youth and adult recreation programs.

Examples of Programs: Soccer, Basketball, Field Hockey, Lacrosse, Tennis, Volleyball, Fencing, Baseball/Softball Clinics, Flag Football, Sport Specific, Water Sports, games programs and anything recreation in nature.

It is essential that the Town retain the services of a management firm with the appropriate background to operate youth and adult programs so that the residents of Reading will be provided program offerings that are professionally managed and expertly maintained.  It is the policy of the Town to continually improve the quality of sports clinics and recreation-based programs being offered at an affordable price to its patrons.

Contract Documents will be available after 9:00 AM Wednesday, February 28, 2024 for download after registration on the Town’s website at https://www.readingma.gov/Bids.aspx . Proposers must register in order to be on the bidder’s list and receive notifications.

Quotes/Proposal must be submitted by 1:00 PM on March 21 th , 2024 to the TOWN CLERK’S OFFICE located at Town Hall, 16 Lowell Street, Reading, MA 01867.  Quotes/Proposals delivered after the appointed time and date will not be considered.

The Town of Reading intends to award multiple contracts to multiple vendors, so that the residents have multiple program offerings available to them.

The term of the contract shall extend be from July 1, 2024 through June 30, 2025 and renewable for a term of two additional one-year terms at the sole discretion of the Town.

All Quotes/Proposals are subject to the provisions of M.G.L. c.30B.

It is the responsibility of prospective proposers and or proposers to check the Town of Reading’s website for new information, any addenda or modifications to any solicitation.

It is the responsibility of the prospective proposer to keep current the email address or fax number of the bidder’s contact person and to monitor that email inbox or fax for communications from the Town of Reading, including requests for clarification. If any changes are made to this RFP, an addendum will be issued. Addenda will be emailed or faxed to all proposers on record as having picked up the RFP.  The Town assumes no responsibility if a prospective proposers’ designated email address or fax number is not current, or if technical problems, including those with the prospective proposer’s computer, network or internet service provider (ISP) cause email communications sent to/from the prospective proposer to be lost or rejected by any means including email or spam filtering.

The Town will reject any and all proposals in accordance with the above referenced General Laws. In addition, the Town reserves the right to waive minor informalities in any or all Quotes/Proposals, or to reject any or all Quotes/Proposals (in whole or in part) if it be in the public interest to do so.
